Welcome Email Template
A free, modular welcome email template for onboarding new subscribers and customers. Edit the content fields, reorder the modules, export clean HTML to any ESP, all in the browser.
What's in this template
Six modules to mix, reorder or drop as you need.
-
Hero Welcome
Welcome heading, intro copy and primary CTA button, with an optional full-width hero image you can switch off.
-
Getting Started Steps
A repeater section for 1–6 numbered steps, each with a title, short description and optional link.
-
Feature Highlights
A repeater section for 1–4 highlights, each pairing a thumbnail image with a title, one-line summary and link.
-
Quote
Full-width colour band with a pull quote and optional attribution, for a line of social proof near the top of the send.
-
Help Card
A short support block with editable copy and a link to your help desk, docs or support inbox.
-
CTA Banner
Centred closing call to action with heading, supporting line and button.
What a strong welcome email needs
The first send has five jobs. This template gives each one a clear place without turning the email into a long introduction.
-
Hero Welcome
Confirm the signup or account creation worked
Make the first line feel like a receipt: the reader should know their action succeeded, then see the main CTA without searching for it.
-
Hero Welcome
Thank and orient the reader
Use the greeting and intro copy to say thank you and explain what they have joined. Keep the welcome human, specific and short.
-
Help Card
Set expectations for what happens next
Tell readers what they will receive, when to expect it and where to get help. The Help Card removes uncertainty before it becomes a support question.
-
Getting Started Steps + Feature Highlights
Give two to four useful first steps
Use the steps repeater for the path forward, then use Feature Highlights to explain the value behind those actions. Keep the list focused, even though the module supports more items.
-
Hero Welcome + CTA Banner
Focus attention on one primary CTA
Let the Hero Welcome carry the main action, then restate that next step in the CTA Banner. The optional Quote adds social proof without becoming a second destination.
Welcome email examples by use case
Adapt the same six-module system to the promise your reader signed up for. These are recipes for this template, not four separate templates.
New customer welcome email
- Opening promise
- Your account is ready, and here is the shortest path to first value.
- First action
- Complete one meaningful setup step, such as importing data or inviting a teammate.
- Keep
- Hero Welcome, Getting Started Steps, Feature Highlights, Help Card, CTA Banner
- Remove
- Quote if you do not have useful proof yet
SaaS or product onboarding
- Opening promise
- See the product in context, with one clear action to start learning by doing.
- First action
- Take the first in-product action that reveals value, rather than reading a feature list.
- Keep
- Hero Welcome, Getting Started Steps, Feature Highlights, Help Card
- Remove
- Quote when the product experience already supplies enough confidence, CTA Banner when the in-product CTA is the only next step
Newsletter subscriber
- Opening promise
- Here is what you will receive, how often it arrives and why it is worth opening.
- First action
- Read a featured issue or set content preferences.
- Keep
- Hero Welcome, Feature Highlights, Quote, CTA Banner
- Remove
- Getting Started Steps if there is only one subscriber action, Help Card if your reply or support route is already obvious
Ecommerce subscriber
- Opening promise
- Welcome to the brand, here is the benefit or product path you signed up to explore.
- First action
- Browse the most relevant collection or redeem the welcome offer.
- Keep
- Hero Welcome, Feature Highlights, Help Card, CTA Banner
- Remove
- Getting Started Steps when shopping is the only first action, Quote if it distracts from the product or offer
Turn one welcome into a useful series
A three-email sequence gives the reader room to act, learn and build confidence without asking one email to do everything.
-
Immediate welcome
Confirm the signup, set expectations and point to the first action while intent is fresh.
-
Value email
Share the features, resources or content that fit the signup context. Lead with usefulness, not another broad introduction.
-
Confidence email
Add proof, support and the next meaningful commitment. A Quote or Help Card can do more here than another list of features.
Timing is a starting point, not a rule. Adjust the sequence to the recipient, the product and the moment when each email will be most useful. Duplicate this template for each send, then reorder or remove modules while keeping the visual system consistent.
Welcome email subject-line ideas
Subject lines are set in your sending platform, not in the exported HTML. Use these as starting points and make them specific to the action inside your email.

Common questions
-
What should a welcome email include?
A welcome email confirms the signup worked and tells the reader what happens next. The reliable format: a greeting that sets expectations (what you send and how often), two to four first steps to take, and one primary CTA. This template maps to that directly: the Hero Welcome carries the greeting and CTA, Getting Started Steps holds the first actions, and Feature Highlights shows what your product or newsletter offers. Keep it to one job. The welcome lands while interest is at its highest, so point it at the single action that matters most. -
Is this template really free?
Yes. Open the template, edit content and drag modules, then export the HTML. No account required, no card, no email needed. -
Do I need an account to use the template?
No. Open the template, edit content, drag modules and customise the layout, then export the HTML. Nothing required. -
Will this work with my ESP?
Almost certainly. The exported HTML imports into Mailchimp, Klaviyo, Marketo, Salesforce Marketing Cloud, HubSpot, Campaign Monitor, Customer.io, Iterable, Braze, ActiveCampaign, Brevo and others. If your platform supports HTML email, this template works in it. -
Can I use this for a welcome series?
Yes. Duplicate the template for each email in the sequence and vary the content: email one carries the greeting and first steps, later sends can lead with Feature Highlights or the Quote instead. Because the structure stays consistent, the whole series reads as one voice even when different people write different sends. -
Can I remove sections I don't need?
Yes. Drag any module out of the email, or drop the optional parts within a module: the hero image and the quote attribution can each be switched off. A minimal welcome of greeting, steps and CTA works well; the extra modules are there when you want them. -
Is the template responsive?
Yes. All modules are responsive and tested across Gmail, Outlook (legacy and new), Apple Mail and the major mobile clients. The editor has device toggles to allow you to preview the email with your content at desktop, tablet and mobile screen sizes. -
Should I personalise the welcome email?
Where you have the data, yes. The template ships without merge tags because every ESP writes them differently, so add your platform's own first-name tag after you import the HTML. If your signup form doesn't collect a name, a plain greeting reads better than a fallback token. -
Can I add my own modules?
Yes, with a Modular Mail account. The template ships with the core welcome email modules; you can add custom modules from your own design system or build new ones from scratch.
